RECEPTIONIST / ADMIN
Our Cape Town branch based in Airport City is looking for a Receptionist/Admin.
Job function
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering screening and forwarding incoming phone calls
- Direct visitors to the appropriate person and office
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and or on the phone/email.
- Receive, sort and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access through the reception desk
- Scanning of account copies
- Debrief and sorting of PODs
- Double checking for invoices & GRVs and following up on outstanding paperwork.
- Scanning of PODs
- Scanning and sorting of clients PODs
- Daily fuel report
- Verbals, queries & upload of PODs
- Outstanding POD report
- Outstanding POD images report -Excel list on system
- Daily filing of account copies & driver tripsheets
- Monthly archive of account copies & driver tripsheets
- Assisting customers on tracking of waybills
- Printing of waybills as per client requests
- Daily scanning of manifests
- Client breakdown emails every Friday.
- Debrief of PODs in the afternoon, once all PODs are scanned.
- Original PODs to return to client each Thursday for delivery on Fridays.
- Original PODs to return to client each Monday and Tuesday for delivery Tuesdays and Wednesdays
- Mailing of leave forms every Friday to HR
- Filing of personal forms (contracts, AODs, disciplinary forms & leave forms)
Job Requirements
- Computer Literate in Microsoft Office Suite
- Attention to detail.
- Strong administrative skills
- Hardworking
- Proactive and self-motivated
- Planning and organizational ability
- Must have own transport
- Strong communication skills / Telephone etiquette
